Job Description
POSITION PURPOSE
Responsible for overseeing and directing accounting functions across the portfolio in a multi-currency environment including finalizing TBs and schedules, general ledger, accounts payable and receivable, statutory and taxes, fixed asset, and cost accounting as assigned. Responsible to prepare periodic reports including consolidated reports, reviews and reconciles data, and participates in the development of specialized financial data. Oversees and prepares entries and adjustments to Company records, files, and statements.
Responsible for accurate monthly forecast, including weekly cash flow forecast and reporting to the Client.
Assists with financial and variance analyses and budget preparation. Provides Asset and Regional managers with information necessary for decision-making.
Oversee and manage audits and budget process.
Responsible for monthly Management Fees’ calculation, billing and payment management.
Financial and Accounting support and dynamic and effective output to Portfolios to ensure Property Management fulfills clients expectations as set out in the Property Management Agreement, KPI’s, and required from time to time. Directs, trains, supervises, and appraises accounting personnel in the portfolio.
ESSENTIAL FUNCTIONS AND BASIC DUTIES
1. Assumes responsibility for the effective performance of all accounting department functions.
a. Quality, completeness and output of overall Portfolio Financial performance.
b. Portfolio Finance Policies and Procedures
c. Oversight, mentorship and guidance for various Portfolio Financial Managers.
d. Control of various financial functions including Balance Sheets, Creditors, and allocation of funds received ex debtors, check and authorize payments from accounts. Review portfolio balance sheets, ensure all recons are in place, creditors issues are shortened.
e. Management of Internal Audit which service Property Management.
f. Ensures that accounting functions are accurately and promptly completed in accordance with established procedures and applicable regulations.
g. Prepares journal entries and balances work in more complicated accounting areas.
h. Prepares regular reports and statements for management, for both Broll Property Management business side and the Portfolio side.
i. Oversee the Debtors (Tenants) billings, collection and administration.
j. Management of Trust, suppliers and banking division which service Property Management.
k. Manage financial income, including management and admin fees on rental recoveries, commissions on new or renewed leases, and interest earnings.
l. Oversee and coordinate the accurate and comparative budget and forecast preparation, reporting and loading.
m. Assists the Client’s Director with budget preparations and formulation of 1, 3 and 5 year projections and financial analyses where required by Portfolios.
n. Liaison with Client’s Financial Directors, Asset Managers and other as might be required.
o. Researches and resolves accounting errors and discrepancies.
p. Manage and control various ad hoc Client requirements including take on assistance and special projects
2. Assessment, review and as required assist in attending ISO Procedures by the business.
3. Effectively supervises the Accounting Department, ensuring optimal performance.
a. Provides leadership to personnel through effective objective goal setting, delegation, and communication. Conducts meetings as necessary.
b. Trains and directs financial and accounting staff. Provides support as needed.
c. Conducts performance appraisals as required.
d. Formulates and implements corrective actions as needed.
4. Assumes responsibility for maintaining effective communication and coordination with Company personnel and with management.
a. Assists area personnel as needed.
b. Maintains regular contact with other departments to obtain information and/or to correct transactions.
c. Keeps management informed of area activities and of any significant problems or concerns.
5. Assumes responsibility for related duties as required or assigned.
a. Stays informed of developments in the accounting field and of changing governmental and legal requirements.
b. Completes special projects as assigned.
c. Ensures that Accounting Department work areas are clean, secure, and well maintained. Finance portion of Property Management and any other areas that report.
d. Assist in approval, appointments and management of payments to service companies and suppliers.
e. Signing of cheques and EFT transfer, relating to the requirements of the Clients of Property Management.
PERFORMANCE MEASUREMENTS
1. Accounting documents, financial reports, tax documents, and related reports are accurately and timely completed and/or filed, including audit report feedback.
2. Reports are completed accurately and timely according to schedules.
3. Accounting errors are promptly detected and professionally resolved.
4. Accounting functions are conducted in accordance with established policies and related legal requirements.
5. Accounting personnel are efficient, effective, and appropriately directed. Accounting operations are properly coordinated.
6. KPI as assigned by Client.
7. Good business relations exist with governmental agencies and outside business contacts.
8. Good communication and coordination exist with Company personnel and with management. Assistance is provided as needed. Management is provided with useful, specialized reports as needed.
EDUCATION/CERTIFICATION:
CA/CFA Degree or equivalent.
REQUIRED KNOWLEDGE:
Technical knowledge of accounting concepts, principles, compliance, practices, procedures, and financial reports.
Understanding of related regulations, statutes, and filing requirements.
International business and Multi-currency processing & reporting.
Real Estate, Property Management industry.
Knowledge of related computer applications.
EXPERIENCE REQUIRED:
Five or more years’ experience as a Finance Manager,.
Preferred experience working in a multi-currency environment.
SKILLS/ ABILITIES:
Strong analytical skills, and attention to detail,
Advanced EXCEL, SQL & BI beneficial,
Able to meet deadlines,
Well organized,
Ability to coordinate, assist, supervise and lead others,
Fluent in English communication: speak, write & read.
